Job Overview

Assistant Reservations Manager will be responsible for oversight and development of reservations sales teams, pre-arrival itinerary planning teams and VIP guest relations planning for South Bank. They will be in charge of aligning goals and strategies to increase conversion rates and drive ancillary revenue following the guidelines and training in line with Grace Bay Resorts brand standards that ensure delivering a superior guest experience. The Assistant Reservations Manger will oversee the day to day management of the Reservations team for the South Bank property. They will support the remote Leisure and Group Sales team with availability inquires and leads. They will set the standards for reservations & pre-arrivals and resolve guest issues and complaints and will build reports, manage guest profiles and work closely with Director of Reservations, Grace Bay Resorts and Vice President of Sales and Marketing to manage inventory, rates and promotions that ensure resort revenue budgets are met monthly.


The Assistant Reservations Manager provides leadership to their individual reservations/pre-arrivals teams while ensuring cross-training of all Grace Bay Resorts properties and products and ensures that all teams have all the necessary materials, training and PMS access to close the sale on any request.

Your Responsibilities

Must be trained on all Grace Bay Resorts properties in order to cross sell as needed including Grace Bay Club, Point Grace, West Bay Club, Rock House and Private Villa Collection

  • Maintain efficient sales office procedures and ensures the maintenance of accurate and updated account files and follow¬ up procedures
  • Maintain all sales systems, such as sales records and reports, conference calendar, travel calendar and database and any other systems that are in place or are added
  • Assist in designing new sales promotions and campaigns to drive additional sales from various markets
  • Identify and analyze competition in both local and regional markets
  • Periodic international travel as may be required
  • Ability to perform duties and responsibilities in a confidential manner
  • Follow up with all email and phone inquires in a professional and timely manner
  • Work with General Managers of the property and all other departments as needed
  • Participate in weekly sales and marketing call and recap/update the team discuss any feedback etc.
  • Participate in weekly yield calls to discuss previous week activity, pickup and make decisions to best yield rooms
  • Work with team to coordinate and arrange all client site visits and Destination Retreats with Travel Trade and Media

$42,000 - $48,000 per annum

  • Average Service Charge: $10,000 per annum
  • Annual Bonus: 10% at the discretion of the Board of Directors, a maximum bonus of Net Base Salary will be paid at year-end.

Skills & Competencies Required

Strong established relationship with key partners: Virtuoso, Signature, Ensemble, Leading Hotels of The World, and American Express Fine Hotels & Resorts

  • Working knowledge of Synxis and Opera is required and interfaces
  • Proficient in setting room rate structures within GDS and PMS
  • Third party extranet partner sites experience
  • Previous working knowledge of Preferred Hotels & Resorts extranet site
  • Excellent spoken and written English
  • Expertise working with Microsoft Office Suite in Word, Excel, Power Point, Outlook) Adobe Acrobat, Adobe Illustrator
  • IOS (Apple) proficiency Keynote, Numbers, Pages and drop box
  • Extremely detail oriented
  • Ability to communicate to both internal and external customers in a polite, courteous and constructive manner
  • Capable of multi¬tasking and able to prioritize duties
  • Flexibility in work hours, the nature of our business requires us to work weekends, holidays and extra hours at times.
  • BSc/MSc in Hospitality, Tourism or relevant field is preferred
  • Work experience as a Reservations Manager or in a similar senior-level position at a Reservations department
  • Proven experience in a similar medium to large hotel environment (300 Room Plus)
  • Good organizational and time management skills with the ability to work under pressure and to multiple deadlines.
  • Leadership abilities with a strategic mind

All Grace Bay Resorts operates 7 days a week, the needs for coverage will vary greatly depending upon occupancy, available resources and expected demands. As such business work schedules will be tailored to insure the best possible coverage to meet the most crucial business needs and insure high service levels while maintaining fairness. We will endeavor to grant special requests for specific shifts and or days off, however these cannot be guaranteed.
